People like you scare me. You've installed Oracle and haven't a single person in your organization that has DBA skills or can read documentation?

Before doing a physical backup stop the database in server manager (svrmgrl.exe) by issuing the command: shutdown immediate. You should make sure everyone is logged off first to speed it up. Or, alternatively, stop the Oracle services in the Control Panel where they are listed under Services.

This should be automated ... but I suspect that evrything you are doing is being done manually.
